"Successful Conversion to New Administrative Systems": EACUBO Post-Conference Workshop

This day-long workshop will provide a thorough presentation of the Administrative Systems (Enterprise Resource Planning (ERP)) project management process from tactical information technology planning and business process review, through finalizing agreements and roles with all project partners and implementation teams. It will prepare participants to design their own institution’s ERP project management approach by contrasting traditional ERP project management to a more holistic approach: one that is guided by strategic institutional goals, a team approach, and early projection of life-cycle costs and returns on this major asset investment.
The morning session will include three phases for the Successful Conversion to New Administrative Systems:
1. Specification, Selection and RFP Development will demonstrate the proper selection of software and vendors,
2. Financing models such as bonding and leasing, and
3. Implementation, which will analyze the complete implementation process utilizing two companies: SCT and Campus Works. This process will include Business Process Reengineering, Organization, Scheduling, Timing and Training.
In preparation for the afternoon session, during lunch time participants will have an opportunity to profile their experiences with current or past ERP implementation projects. The participants will be broken into work groups to simulate the conversion process to a new Administrative Systems. A workbook and checklist will be distributed as foundational material for exercises in which workshop participant groups will be asked to develop a project management approach, including construction of pre-implementation planning activities, project management team and role definition, and vendor communications plan.
